About The Clinic:

This clinic is a small, family-run Cardiology Practice offering high-end, personalised care with a modern touch. The practice has a standout reputation and it is built on providing exceptional service to patients.  A vacancy has become available for a friendly, service-oriented individual to join their intimate team. The person filling this role will be the face of our practice and a cornerstone in maintaining a high standards of patient care.

Key Responsibilities:

  • Provide front-line administrative and reception support to three cardiologists.
  • Answer phone calls, manage patient inquiries, and ensure all interactions align with our service standards.
  • Book and monitor clinic appointments, ensuring efficient scheduling for 10-12 patients daily.
  • Make outbound calls for appointment coordination and follow-ups.
  • Process patient billings using Genie software and handle payments (EFT, credit card, cash).
  • Prepare invoices, issue receipts, and manage Medicare claims.
  • Ensure the readiness and cleanliness of the reception area and consulting rooms.
  • Perform opening and closing duties of the clinic daily.
  • Manage patient records, collate information packages, and provide administrative support as needed.
What We’re Looking For:
  • Previous experience in medical administration, particularly in a medical specialist practice 
  • Strong interpersonal skills, emotional intelligence, and a friendly, welcoming demeanour.
  • Exceptional time management, organisational skills, and the ability to multitask.
  • Familiarity with Genie software or similar medical management systems.
  • A positive attitude towards learning, as training and development will be provided.
  • Ability to work independently as the sole person on the front desk while also being a strong team player.
